DATA PROTECTION POLICY

Hampshire Training Providers Ltd needs to gather and use certain information about individuals in order to carry out everyday training business needs.

These individuals include trainees, instructors, farmers, employees, suppliers, members of the board, business contacts and any other people HTP has a relationship with or may need to contact.

HTP ensures personal data is collected, stored and handled appropriately as required by The Data Protection Act (1998) by following the directives below:

Only relevant and necessary personal data is held on an individual and includes all or some of the following:

Name, work address, home address, telephone numbers, email address, date of birth, bank details.

Consent to hold this information on the individual is given on the course booking form, the course attendee sheet, the Basis registration form, the Lantra registration form, City & Guild’s NPTC registration form or otherwise provided by suppliers.

The information is stored on computers that have strong passwords and/or the Microsoft 365 cloud which has strong passwords and/or our online platform accessible via password and encrypted connections and/or in locked filing cabinets.

The information held on individuals is accurate and kept up to date and is reviewed at least annually.

The information is held for a maximum of 7 years.

Once the personal information is no longer required the paper records are shredded and records on computers and the cloud are deleted.

This document is given to employees and persons who are working for HTP when they join the company. It is also given to any individual whose information is to be held/ or is held should they request it.
